1. Scope and operator
Oxerix (“Oxerix”, “we”, “us”) provides an installable web application for role-based equestrian event operations and live show-day information, together with this public support site. This policy applies to both.
The public site introduces Oxerix and links to the web app at app.oxerix.com, where account, event and subscription features are provided.
2. Information we handle
Account and profile information
Depending on the account type and the details you choose to provide, Oxerix may process your name, email address, optional phone number, profile image, role, account status and account identifier.
Authentication and local app data
Trusted cloud authentication infrastructure is used for email/password authentication and for sessions created through Google sign-in. The app stores the account identifier, basic profile details, appearance preference and cached show-day state on the device so that the signed-in experience can work. Signing out or completing in-app account deletion clears the saved session and cached private show-day and image data from the app.
Show-day and event information
Oxerix processes event, arena, class, schedule, rider, horse, entry, riding-order and result information supplied or managed by authorised event users. It also stores follows, notification preferences, in-app notification history and operational audit records.
Device and technical information
The Oxerix web app uses internet and browser capabilities to communicate with Oxerix services and, when a subscriber chooses, to deliver notifications. It does not request location, camera or microphone access. Technical diagnostics may be used to investigate an error, but the current web app does not include an advertising or analytics SDK.
Public site information
This public site does not use account forms, advertising cookies, analytics scripts or third-party embeds at launch. The hosting provider may create standard security and access logs containing information such as an IP address, date and time, requested page and browser user agent. If you email us, we process the email address and content needed to answer the request.
3. How we use information
We use information to:
- create, authenticate and maintain Oxerix accounts;
- provide role-appropriate app access;
- publish and operate equestrian events, riding orders and results;
- save follows and notification preferences;
- deliver foreground live-update cues and in-app notification history;
- protect accounts, enforce access controls and keep operational audit records;
- answer support, privacy and deletion requests; and
- comply with legal duties and protect users, event staff and the service.
Where applicable, processing is based on providing the service you request, your consent, legitimate operational and security interests, and compliance with legal obligations.
4. Service providers and sharing
Oxerix uses trusted third-party service providers where necessary to operate and support the service. These may include:
- cloud infrastructure and backend service providers used for account authentication, database storage, file storage, realtime functionality and secure server-side processing;
- Google services when a subscriber chooses to sign in using Google and for configured notification delivery;
- payment service providers, including PayFast for web subscription checkout when enabled and Google Play for Android subscription purchases where applicable; and
- website hosting, domain and email service providers used to operate the Oxerix website and respond to enquiries.
Access to account and event information is limited according to the permissions needed to operate the service. Published show-day information may be visible to subscribers as part of the app experience.
We do not sell personal information. We may disclose information where required by law, to respond to a lawful request, or where reasonably necessary to protect people, accounts or the service.
5. International processing
Some service providers may process information outside South Africa. Where this occurs, we take reasonable steps to use providers and arrangements intended to protect information consistently with applicable data-protection law.
6. Security
Oxerix uses authenticated sessions, role-based access controls, database security policies and encrypted network connections. Profile images are stored privately, and administrator and judge access is restricted to authorised accounts. No system is completely secure, so please use a strong, unique password and keep it private.
7. Retention and deletion
Account information is generally kept while the account is active and as needed to provide, secure and administer the service. Support emails and security records may be retained for as long as reasonably needed for the request, dispute prevention, legal compliance or service integrity.
The current in-app subscriber deletion flow removes the cloud authentication account, profile record, follows, notification preferences, in-app notifications and subscription or entitlement records. A web deletion request is reviewed so associated data, including any profile image, can be handled as part of the request.
Some event-operational information—such as rider or horse names, official entries, results and audit records—may need to be retained where it is required for event integrity, a legal obligation, dispute handling or another lawful purpose. Where appropriate, information will be deleted or de-identified.

8. Your privacy rights
Subject to applicable law, you may ask to access, correct or delete personal information; object to or restrict certain processing; withdraw consent where consent is the basis; or raise a concern about how information is handled. We may need to verify your identity before acting on a request.
If you are in South Africa, you may also lodge a complaint with the Information Regulator. You can find the regulator’s current contact details at inforegulator.org.za.
9. Children and minors
If you are a minor, use Oxerix only with the permission and supervision required by the law that applies to you. Event organisers are responsible for ensuring that rider and entry information supplied to Oxerix may lawfully be used for the event.
10. Changes to this policy
We may update this policy when the app, providers or legal requirements change. The date at the top identifies the latest version.
